The most common miscalculation when it comes to personalized gifts isn't about delivery time, but about one's own preparation. Production takes only a few days – finding, selecting photos, and writing texts takes significantly longer than almost everyone estimates.
The four phases and their duration
Phase 1: Gathering material – 1 to 21 days
If you only need your own photos: one to two evenings. As soon as other people need to contribute, this becomes the longest step by far. Realistically, it takes two to three weeks, because about a third of those asked only deliver after the second reminder.
Phase 2: Selection and design – 2 to 5 hours
Sort out, determine the order, write texts. Spread this over two sessions: The selection on the second day will be much easier and better.
Phase 3: Production – 2 to 7 business days
Depending on the product and the season. In the weeks leading up to Christmas, this step noticeably lengthens for most providers.
Phase 4: Shipping – 1 to 4 business days
Within Germany usually one to two days, in December rather three to four.

- Own photos only, normal season: 5 to 10 days

- With contributions from others, normal season: 3 to 4 weeks

The backward calendar
Count back from the occasion, not forward from today:
- Occasion minus 3 days: Item must be there – buffer for delays.
- Occasion minus 10 days: Order placed.
- Occasion minus 14 days: Design finished.
- Occasion minus 5 weeks: Request to all involved, if others are contributing.
Where time is lost
- Poor quality photos. If images came via messenger, they must be requested again – regularly costs a week. Please ask for original files right from the start.
- Unclear contribution requests. "Write something" leads to delay. State scope, deadline, and ask a specific question.
- Endless optimizing. Set a firm deadline for the design.
- Wrong delivery address for surprises. For gifts for roommates, have them delivered to a work or neighbor's address.
When time is short
Two things can be shortened without affecting the result: the scope and the number of participants. A compact personalized magazine with 20 carefully selected pictures beats one twice as thick that was filled under time pressure. What cannot be shortened, however, is the production and shipping time – always plan for its full duration.
